Scan a badge

Pick the event and where you're checking people in at the top (Main check-in, or a specific session). Keep the cursor in this box and scan. You can also type a name, email or badge ID and press Enter. More than one scanner can be plugged into this computer.

Print badges (Avery 5392, 6 per sheet, 3" x 4")

Creates a PDF for the event picked at the top. In the print dialog set scale to 100% / Actual size, never "Fit to page". Do a plain-paper test first and hold it against a badge sheet up to the light.

Sheet positions run 1-2 across the top, 3-4 middle, 5-6 bottom. Starting at a later position lets you reuse a partly used sheet. One badge works at the main check-in and every session of its event.

Not on the list

For people who show up at the desk and are not on the attendee list. This adds them, flags them as a not-on-list add, and makes their badge. (To add someone ahead of time, use + Add attendee on the Attendees tab instead.)

The sheet position moves forward by one after each badge, so one Avery sheet covers six not-on-list people. Feed the same sheet back in each time.

Import attendee list

Sending the list to someone else to fill in? Give them the template — it has the exact headers this app reads, plus instructions.

The list goes into the event picked at the top. Excel (.xlsx, .xls) or CSV. Importing again is safe: people already in the event keep their badge ID and scans, anyone with a matching email is updated instead of added twice, and only new people are added.

Events

Each event (STAR 2026, M&I 2026 ...) has its own attendee list and its own badge numbers. Archiving makes an event read-only but keeps it here for reports and exports.

People check in to a specific session. Every session you add here shows up in the Check in to list at the top, and gets its own column on exports and its own line on the report.

Users

Everyone who can sign in. Last active updates every few seconds while a laptop is open and signed in. Rename a station here (for example after the room walk-through) and every laptop picks up the new name within a minute; nobody's password changes.

Shared database

Signed in, every laptop sees the same events, attendees and check-ins. Changes save on this laptop first and upload within a few seconds; with no internet they wait and upload when it's back, so scanning never stops. Use the station button at the top right to sign out.

Shared list

This computer is working on its own. Sign in to connect it to the shared list every laptop sees. If you sign in as an admin and the shared list is empty, you'll be offered to upload what's on this computer.

This station

Naming each laptop or desk means the activity log shows where every scan and every problem came from.

Backup

The backup file holds everything on this computer — every event, attendee, session, scan, setting and the log. Keep one before and after each event day. Moving to another computer: back up here, then Restore there.

Signed in, a restore replaces the shared list for every laptop.

Badge layout

Badge IDs for this event start with . Each event has its own prefix, set when the event is added.

Badges printing off-register? Use the two nudge boxes above in small steps (0.03 in at a time) and re-run the plain-paper test.

More than one desk

Until the shared database is on, each station keeps its own record. At the end of the day, use Export Attendees on station B and import that file on station A (same event picked) — check-ins at every point and not-on-list adds merge in, and nobody loses a badge ID.

Danger zone

You will get a warning and have to confirm. The event, its sessions, other events, settings and the station name survive. Signed in, this empties the event for every laptop.
